Which seating chart template fits your room

The useful question is not what the occasion is called but what shape the room is. A wedding with a long top table and a wedding with rounds only are different layouts; a classroom set up for a test and the same classroom set up for group work are different layouts. Find the row that describes your room and start there — you can change anything afterwards.

Why these are live charts, not a Word download

Most “seating chart template” results hand you a .docx or .xlsx with a grid of empty boxes. That file is the easy half of the job. The hard half is what happens at 11pm three days before the event, when two guests stop speaking to each other and a table of eight has to become a table of nine — and in a Word grid that means retyping cells and redrawing boxes by hand.

Here the layout is a real object. Drag a name from one seat to another and both seats update. Add a table and it appears in the room. Rename “Table 4” to “Cousins” and the chart and the printout both follow. When it is settled you export the PDF — so you still get a file, you just do not do the layout by hand to get it.

Printing and sharing what you make

Turning a template into your chart

  1. Load the template whose shape is closest to your room.
  2. Paste your guest list in one go — copy a column out of a spreadsheet and each line becomes a guest, so there is no re-typing.
  3. Press Auto-seat to fill tables in list order, or Shuffle to draw a random arrangement across the whole room.
  4. Drag the people who need moving, and rename tables to whatever your family calls them.
  5. Export the PDF for the board and the PNG for your phone.

Seating chart template questions

Are these seating chart templates really free?

Yes. Every template on this page opens in the editor with no signup and no payment, and you can rearrange it, rename tables, add or remove seats and export it. Free PNG and PDF exports carry a small watermark in the corner; removing it is the only thing Pro does. Nothing about the layouts, the guest list or the printing is held back.

What file format is the template in — Word, Excel or PDF?

None of those, and that is deliberate. A seating chart in a Word or Excel file is a picture of tables you then have to fight with: moving one guest means retyping cells. These templates are live charts in the editor above, so you drag a name from one seat to another and the chart redraws. When you are finished you export a print-ready PDF or a PNG — so you end up with the file you wanted without doing the layout work by hand.

How do I edit a template?

Click any template below and it loads into the editor on this page. Then: paste your guest list into the add-guest field (a whole column from a spreadsheet works — each line becomes a guest), press Auto-seat to fill the tables in order or Shuffle to draw a random arrangement, and drag anyone who needs moving. Tables can be moved, resized, renamed or deleted, so a template is a starting point rather than a cage.

Which template should I start with?

Match the room, not the occasion. If you have a long table for the wedding party plus rounds for everyone else, start with the Classic Wedding Reception or the Top Table Plan. If your venue is doing rounds only, start with the Intimate Wedding and add tables. For a classroom, Rows suits a test, Pods suit group work, Paired Desks suit an ordinary week. The templates hold between 19 and 72 seats as they load, and every one of them can be grown or cut in the editor.

Can I print the chart as a board for the entrance?

Yes — export a PDF and it is laid out for print, so it scales cleanly to an A3 or poster-size board without pixelating. Most people print one large copy for an easel at the door and keep a PNG on their phone for the venue coordinator. The chart title, venue and date you type in appear in the title block on the export.

How many guests and tables can a template hold?

There is no cap. Each table seats up to 24, and you can add as many tables as your room has. The templates ship at realistic sizes rather than maximum ones, so expect to add a table or two for a big reception — that takes one click.

Does my chart save if I close the tab?

Your work is stored in your own browser on that device, not on a server, so it is there when you come back — but it does not sync to another device and clearing your browsing data clears it. If the chart matters, export a PDF once you are happy with it.
