Which plan to start from

Start from the room rather than the occasion. The question that decides the template is whether you have a long top table with rounds below it or rounds only, and how many the venue is actually giving you. Everything else can be changed in the editor afterwards.

What a seating plan has to contain

Less than people expect. A plan that works has the event name, the date and the venue in a title block, every table named the way your guests will hear it named on the night, and a legible name in each seat. The common failure is not missing information but unreadable information: a plan printed too small to read from arm’s length in a queue, or one that labels tables “Table 7” when the toastmaster is calling them “Rosemary”.

The second failure is a plan that only exists as a file on one person’s laptop. Send the venue a copy as soon as it is settled, because catering counts covers from your plan, and a table you moved on the morning of the event is a table the kitchen does not know about.

Filling it in

  1. Load the plan whose shape is closest to your room, or keep the one open above.
  2. Add or delete tables until the count matches what the venue is giving you. Do this before the names go in, not after.
  3. Paste the guest list in one go — a column copied out of a spreadsheet works, and each line becomes a guest.
  4. Press Auto-seat for a first pass in list order, or Shuffle to draw the seats at random, then drag the people who genuinely need placing.
  5. Rename the tables to whatever the room will call them, and export the PDF.

Printing the table plan

The plan gets used twice: once as a board at the entrance and once as a working document for the venue. The PDF export handles both, because it is laid out for print and scales to A3 or a poster without going fuzzy. Print one large copy for the easel, send the PNG to the coordinator, and keep the editable plan open in case somebody drops out the day before, which somebody usually does.

What is a seating plan template?

A ready-made table layout that you fill with your own guest list, rather than a blank page you have to draw the room on first. A good one gives you the tables in roughly the right shape and number for your event, leaving you only the part that needs your judgement — who sits with whom.

Is this a Word or Excel seating plan template?

No, and that is the point of it. A .docx or .xlsx template hands you a grid of boxes, which is the easy half of the job; the hard half arrives at eleven at night when a table of ten has to become a table of eleven and you are retyping cells. These templates are live plans — drag a name from one table to another and both tables redraw. You still finish with a file, because the plan exports to PDF and PNG, you just do not do the layout by hand to get one.

Is a seating plan the same as a seating chart or a table plan?

Yes. "Seating plan" and "table plan" are the usual terms in Britain, Ireland, Australia and New Zealand; "seating chart" is the American and Canadian phrase for the same document. Wedding stationers sometimes narrow "table plan" to mean specifically the display board at the entrance, as distinct from the place cards on each table, but the underlying plan is one job under three names.

How big can the plan be?

There is no cap. The templates here load between 19 and 88 seats, which is a realistic starting range rather than a maximum — the Function Room Seating Plan opens at 88 seats across 9 tables. Each table holds up to 24, and you can add as many tables as the room has.

Can I print it as a board for the entrance?

Yes. Export the PDF and it is laid out for print, so it scales to A3 or a poster-size board on an easel without pixelating. The title, venue and date you type into the editor print in the title block, so the board at the door says whose event it is. Most people print one large copy for the entrance and keep the PNG on a phone for the venue coordinator.

Do I have to make an account or pay?

No. Every template opens in the editor with no signup and no payment, and nothing about the layouts, the guest list or the printing is held back. Free PNG and PDF exports carry a small watermark in the corner, and removing that is the only thing the paid tier does.

Will my plan still be there tomorrow?

In that browser on that device, yes — the plan is stored locally rather than on a server, so it survives closing the tab. It does not sync to another device, and clearing your browsing data clears it, so export a PDF once the plan is settled if it matters.
